Problem

The earlier version of Stage Customization left users frustrated. It surfaced raw backend logic directly in the UI, which made setup unintuitive and error-prone. Customers often needed hours of support from Applied AI Engineers to configure their orgs—and the same effort was needed for any future updates.

This not only delayed onboarding but also drained engineering resources and left customers dissatisfied.

Solution

We redesigned the experience to align with how users naturally approach configuration. Instead of seperate interface for stages and objects, we added stage customization within object configuration. This gave users a clearer mental model: first configure the object, then its stages.

Inline stage creation, smart defaults, and simplified rules made the process faster and far more intuitive.

Together, these changes made the setup process significantly faster and more user-friendly, even for non-technical users.

Impact

Users can now configure objects and stage transitions in one seamless flow, making creation process 2x faster.

We saw a 43% reduction in stage workflow–related support tickets within the first quarter after launch.

The feature drove over ~2M $ in revenue impact, contributing directly to business growth.

Key flows ~

Unified the information architecture

Redesigned the IA to consolidate fragmented customization features (objects, attributes, and stage mappings) into a clear L1/L2 hierarchy. This streamlined navigation and reduced workflow friction, making customization more intuitive.

Streamlined object customization

Re-architected object customization into a more robust and flexible framework, paving the way for future features like dependent fields and customizable layouts.

Enabled seamless stage addition

Introduced smart defaults that minimized steps and made adding new stages effortless.

Simplified stage creation

Brought the stage map into context, allowing users to create and rearrange stages seamlessly within their workflow.

Snapshots

This redesign resolved key pain points and set the foundation for advanced features such as AI-powered recommendations and enhanced diagramming in V2.

Notifying users about the new, simpler stage setup for a smoother configuration experience.

Clearer hierarchy in the new list view makes objects easier to navigate and understand.

Drag-and-drop makes arranging stages intuitive and aligned with user workflows.

“Transition to all stages” set as default to align with the most common workflow.

Defined transitions make stage changes clearer and more intuitive.
